How we handle your information.
Effective July 1, 2026
Roots Up Landscape and Design ("Roots Up," "we," "us") is a family-run landscape and lawn care service based in West Cobb County, Georgia. This policy explains what personal information we collect from customers and prospects, why we collect it, and how we use it. We keep this short and honest — if anything isn't clear, email [email protected] and we'll answer.
What we collect
We only collect information you give us directly, either when you contact us, request an estimate, or become a customer:
- Contact info: your name, email address, phone number (if provided), and service address.
- Property details: lawn size, service preferences, gate codes, and other notes you share so we can do the work.
- Payment details: processed by Stripe, not stored on our servers. See "Payments" below.
- Correspondence: emails and messages you send us, kept so we can follow up and reference prior conversations.
- Website visits: Cloudflare (our hosting provider) records basic request logs for security and reliability. We do not use tracking cookies or third-party analytics.
Why we collect it
- To provide estimates, schedule service, and complete the work.
- To send invoices and receive payment.
- To communicate with you about your service, follow up after visits, and answer questions.
- To keep customer records for tax and business-operations purposes as required by law.
Payments
We use Stripe to process credit-card, bank, and other payment methods. When you pay through a Stripe-hosted invoice, Stripe collects your payment details directly — we never see, handle, or store your card number, bank account number, or CVV. Stripe's privacy policy governs their handling of that data.
Who we share your information with
We do not sell or rent your information to anyone. We share it only when it's necessary to run the business:
- Stripe, for payment processing.
- Cloudflare, for hosting the website and storing customer records securely.
- Google, if you leave a public review on our Google Business Profile — that review is public by nature.
- Subcontractors and crew members we hire to help complete work at your property, on a need-to-know basis (usually just the address and any special instructions).
- Legal or tax authorities, if required by law or in response to a valid legal request.
How long we keep it
Customer records are kept for as long as you are an active customer plus at least seven years afterward, to comply with tax and business-records law. Prospects who never become customers are typically kept for two years, then deleted. You can ask us to delete your information sooner — see below.
Your choices
- Access or update: email us and we'll send you a copy of what we have or correct anything that's wrong.
- Delete: email us and ask. We'll remove everything we're not legally required to keep (invoices, tax records) within 30 days.
- Stop marketing emails: we don't run marketing lists yet, but if we ever do, every email will include a one-click unsubscribe link.
- Do-not-share reviews: if you don't want us to ask for a Google review after a job, just tell us — we'll flag your account.
Security
Customer records are stored on Cloudflare's D1 database with encryption in transit and at rest. Payment data lives with Stripe. We use industry-standard practices to protect the information we hold, but no system is perfectly secure, and we can't guarantee against every possible breach. If a breach affecting your information ever occurs, we will notify you as soon as reasonably possible.
Children
Our services are for property owners and adults. We do not knowingly collect information from anyone under 13.
Changes to this policy
If we make material changes, we'll update the "Effective" date at the top and, when appropriate, notify active customers by email. Continued use of our services after an update means you accept the revised policy.
